Our commitment
ASiS is built around protecting members. This Privacy Policy explains what data we collect, how we use it, and the choices you have.
Data we collect
We collect: account details you provide (email, display name), listing content and messages you post, transaction and payout records, and technical data (device, IP, app version) to keep the service secure. For verified sellers we may collect identity documents for authentication.
How we use data
We use your data to operate the marketplace, process payments through escrow, prevent fraud and abuse, provide customer support, and improve the product. We do not sell your personal data.
Sharing
We share limited data with payment processors, identity verification partners, and hosting/infrastructure providers strictly to run the service. We may disclose data where legally required.
Seller tax details and HMRC reporting
Since 1 January 2024, UK online marketplaces must carry out due diligence on the people who sell through them and report qualifying sellers' income to HMRC once a year. This is a legal obligation on ASiS, not a choice, and not something we do because of anything you have done.
If you sell on ASiS, we ask you — at the point you set up payouts — for your legal name, date of birth (or registered business name and company number), address, and a tax identifier: your National Insurance number if you are an individual, or your UTR or company number if you sell as a business. Where your payout account already holds some of this, we pre-fill it so you are confirming rather than retyping. We cannot release payouts to your bank until these details are complete.
We store this information in a separate, restricted record. It never appears on your public profile, shop or listings, and no other user can see it. Only you and ASiS staff handling a legal or compliance request can access it, and every staff access or export is written to an audit log.
Once a year we report sellers who cross HMRC's thresholds — 30 or more sales, or roughly £1,700 (€2,000) in sales, in a calendar year. The report contains your identity details and your totals for that year: number of sales, gross amount, fees charged, and shipping. If you are below both thresholds you are not included. Being reported does not mean you owe tax — most people selling their own second-hand belongings owe nothing. You can see your own running totals and whether you are above the threshold at any time under Profile → Earnings. ASiS cannot give tax advice; check your own position with HMRC.
Retention
We keep account and transaction records for as long as your account is active, and for a reasonable period afterward to comply with legal and accounting obligations. Seller tax details and reportable-activity totals are kept for the period HMRC requires for platform reporting records (we assume six years from the end of the reporting year), even if you close your account.
Your rights
Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data. You can download a copy of your data at any time from Profile → Account settings → Download my data. Contact us in-app to exercise any other right.
Deleting your account
You can close your account yourself at any time from Profile → Account settings → Delete my account. Because UK data protection law gives you a right to erasure while HMRC and UK accounting rules require us to keep transaction records (we assume six years), closing an account anonymises it rather than wiping everything. Here is exactly what happens.
Deleted straight away
Your profile photo, bio, saved searches, saved items, the sellers you follow, draft listings, notification tokens, and all signed-in sessions.
Anonymised
Your display name becomes "Deleted user" and your handle, contact details and storefront identity are cleared. Your handle is held for a 30-day cooling-off period before it becomes available again, so nobody can take it immediately and impersonate you. Your sign-in account is then deleted, so it cannot be logged into again — and signing up again with the same email will not restore the closed account.
Kept for six years
Order records, payment records, dispute outcomes and the evidence submitted in them. These stay linked to your anonymised account ID and no longer carry your name. We keep them to meet tax, accounting and payment-dispute obligations.
Messages
Message content you sent is replaced with "[message removed]". We keep the thread structure so the other person's own conversation history stays coherent.
Blocked while something is outstanding
For everyone's protection we will not close an account while an order is still in progress, a dispute is open on either side, an active listing has an offer awaiting an answer, a payout or refund is still being processed, or funds are still sitting in your payout account. We tell you which one is blocking so you can clear it first.
Security
We use industry-standard measures to protect data in transit and at rest. No system is perfectly secure — please use a strong, unique password and enable device-level protection.
Children
ASiS is not intended for anyone under 18. We do not knowingly collect data from minors.
Changes
We may update this Policy; material changes will be communicated in-app.
